Paper Submission Guidelines

Please read the following guidelines carefully before submitting your paper.

  1. Please prepare your paper using the Persian/English paper templates provided at the end of this section.

  2. Using the visual guide for registration and paper submission, upload your paper through the ICBME2026.ir submission system.

  3. Papers will only be accepted through the ICBME2026.ir submission system within the specified submission period. Papers submitted by email will not be accepted.

  4. The deadline for paper submission is September 14, 2026 (23 Shahrivar 1405). For other important dates, please refer to the Important Dates section. Authors are encouraged to submit their papers as early as possible and not wait until the final days.

  5. For all papers, both Persian and English, the title, abstract, and keywords must be entered in English only in the submission system. Authors of Persian-language papers are also required to provide the English translation of all relevant information, including the title, abstract, and keywords, in their paper record in the EDAS system. The English section of the conference bilingual proceedings and the electronic proceedings will be prepared directly from this information without further editing.

  6. For all papers, a Persian abstract file must be uploaded first when submitting the paper files.

  7. When entering the paper information, please make sure to select the paper language correctly.

  8. Please ensure that the names, affiliations (university, etc.), and email addresses of all authors are entered correctly in the conference system. Please do not create a new account for individuals who already have an account.

  9. Please note that papers that do not comply with these requirements may not be correctly included in the conference program, electronic proceedings, or conference proceedings, and the responsibility for any resulting issues rests with the authors.

  10. The maximum length of a paper is 8 pages, and an additional fee will be charged for each additional page.

  11. For payment of the review fee, please carefully read the Registration Guidelines. The payment should be made by transferring the required amount to the following bank card:

After making the payment, please submit the payment receipt through the paper submission section according to the instructions provided in the registration guide.

Important: Please do not pay the conference registration fee before the paper acceptance results are announced. At this stage, only the paper review fee should be paid.

  1. Please use the same email address throughout the submission process as the one registered in the EDAS system.

  2. The full version of all papers must be uploaded in PDF format. All requirements specified in the Registration and Paper Submission Guide must be followed.

  3. The conference registration fee must be paid after paper acceptance and before submitting the final version of the paper.

  4. Each author may submit a maximum of 8 papers.

  5. English-language papers may proceed to the next stages for possible indexing in IEEE Xplore after payment of the applicable indexing fee. Compliance with IEEE paper-writing and formatting requirements is a prerequisite for indexing. These requirements will be reviewed and reported after the conference by the IEEE Iran Section. Important criteria include the quality of English writing and adherence to academic English conventions, as well as the absence of substantial textual similarity with previously published documents. The similarity percentage of the papers will also be checked again using the relevant software.

  6. Please note that issuance of a paper acceptance certificate requires attendance at the conference and presentation of the paper. If you are unable to present the paper yourself on the conference dates, you must designate one of the co-authors as the presenter in the submission system after acceptance. If none of the authors is able to present the paper at the conference, authors are advised not to submit the paper or pay the review fee.

  7. At the Iranian Conference on Biomedical Engineering, review papers and papers for which none of the authors is a faculty member of a university will not be accepted.

  8. Please note that if, after the review process, you withdraw from presenting the paper, or if the paper is found to have any of the issues mentioned above, the paper will be removed and the review fee will not be refunded.

Notes on Fees

  1. Please note that the review fee is collected to cover part of the costs associated with the peer-review process, and no honorarium is paid to conference reviewers. After acceptance, the review fee already paid for one paper will be deducted from the registration fee, and the remaining registration fee should be paid.

  2. If a paper is accepted, the review fee already paid must be deducted from the registration fee before submitting the final version of the paper, and the remaining registration fee must be paid according to the applicable registration fee schedule.

  3. For additional papers submitted by the same author, the initial review fee will not be deducted from the registration fee. A registration fee of 9,000,000 IRR must be paid for each additional paper. If the presenter is an author other than the author who registered with the paper, the presenter must also pay the conference attendance registration fee. Please refer to the relevant registration fee section for details.

  4. The presenter must be one of the authors of the paper. The presenter must personally register for the conference. If one of the paper's authors, other than the presenter, has already registered for the conference by paying the registration fee, the presenter may register through one of the available registration methods and is not necessarily required to pay the same registration fee as the paper's registering author. After making the payment, please email the conference secretariat and provide the payment details. Once the payment is confirmed, the secretariat will activate the author's account for submission of the full paper. The paper submission link will then become available.

  5. If a paper is not accepted, the initial review fee is non-refundable.

Registration

  1. After paper acceptance and before submitting the final version of the paper, at least one of the paper's authors must complete “Registration with Paper.”

  2. To register with a paper, the registration fee specified on the Registration Fees page should be transferred to the following card:

After payment, an email containing the following information should be sent to the conference email address:

  • Payment receipt

  • Paper number

  • Full name

  • Academic degree and university (if the person is a student)

  • Documents demonstrating membership in the Iranian Society for Biomedical Engineering or IEEE (if applicable)

  • Full name of the paper presenter, if different from the author registering with the paper

  • Mobile phone number

Please note that the review fee already paid for one paper is considered part of the registering author's registration fee. Therefore, the previously paid review fee should be deducted from the registration fee and only the remaining amount should be paid. If an author has more than one paper, the review fee will not be deducted from the registration fee for additional papers, and the full registration fee for each additional paper must be paid.   1. The paper presenter must be registered for the conference. However, if the author who registers with the paper is different from the paper presenter, the presenter may complete “Registration without Paper.”

  2. For registration without a paper, the applicable registration fee should be transferred to:

Presentation Files

Authors of papers accepted for oral presentation at the conference must upload their PowerPoint presentation file, while authors of papers accepted for poster presentation must upload their poster file through the EDAS system within the specified deadline.

Please note that when a paper is presented at the conference by one of its authors, either as an oral or poster presentation, according to the final acceptance decision, there will be no difference in the publication process of Persian- and English-language papers based on the type of presentation, in accordance with the announced regulations.

Frequently Asked Questions

Is the conference internationally recognized?

The conference is recognized annually by the Ministry of Science, Research and Technology of Iran and is supported by IEEE each year.

What category does the conference belong to?

The conference is part of the series of national and international conferences organized by the Iranian Society for Biomedical Engineering.

Will workshop participants receive certificates?

Yes. Participants who successfully complete the workshop will receive a certificate of participation/completion.

Are the registration fees for Persian- and English-language papers the same?

Yes. The fees are the same for Persian- and English-language papers. Please note that the IEEE Xplore indexing fee is separate and applies only to English-language papers. Authors residing outside Iran must pay the applicable fees in US dollars.

Where can I find the paper formatting templates?

The paper templates are available in the For Authors section.

Is it possible to have a paper reviewed earlier than the announced date?

No. The review results will be announced in the system on the specified date after the final review process.

I have questions about visas and accommodation during the conference. Whom should I contact?

Is there a page limit for submitted papers?

Yes. The minimum length is 4 pages, and the standard maximum is 8 pages. Papers of up to 14 pages may be accepted, with an additional fee for pages exceeding 8 pages, payable at the time of submission.
